How to Use the Public Share Functionality in Limesync.
Enabling Public Sharing in Settings
Before you can share a specific knowledge base or document with the public in LiveSync, you must first verify that global sharing permissions are active for your organization. This serves as a prerequisite for all public-facing links within the platform.
Accessing Organization Settings
To begin, navigate to the sidebar menu and click the Settings icon located in the bottom-left corner. This opens the primary configuration dashboard for your workspace.
Configuring Public Sharing Permissions
Once inside the organization settings, follow these steps to activate the sharing infrastructure:
Select the Public sharing tab from the menu list to access the visibility controls.
Locate the Allow public share links toggle. This master switch controls the availability of public URLs across your entire organization.
Ensure the toggle is switched to the ON position (highlighted in green).
With this setting enabled, you are now permitted to create and manage public links for individual documents or entire knowledge bases. Note that if this setting is disabled in the future, all previously shared public links will be deactivated immediately.
Publishing a Knowledge Base to the Web
Once public sharing is enabled for your organization, you can make specific workspaces available to the public. This turns your internal documentation into an accessible knowledge base for external users.
Step 1: Select Your Workspace
Navigate to your dashboard and select the target workspace from the list in the left sidebar. Ensure you are within the workspace you intend to publish before proceeding with the sharing options.
Step 2: Access Publishing Options
In the top-right corner of the workspace interface, click the Share button. From the dropdown menu that appears, select Publish to web. This will open the configuration modal for public access.
Step 3: Define a Custom URL Slug
In the configuration popup, you need to set the public-facing address for your documentation. In the Choose your URL text field, enter a custom slug (for example, "knowledge-base"). This slug will be appended to the base URL to create your unique public link.
Step 4: Activate the Public Link
After entering your chosen URL slug, click the Enable sharing button. This finalizes the process, making the workspace live on the web and generating the final URL that you can distribute to users.
Accessing and Searching the Public View
Once you have configured your custom URL, the final step in the publication process is to activate the link and verify the external interface. This ensures that your knowledge base is accessible to the intended audience and that the navigation tools are functioning correctly.
Launching the Public Knowledge Base
To finalize the publication, click the green Enable sharing button. This action generates the live public link and updates the workspace status. Once active, the interface will confirm that the Workspace is shared publicly at the top of the panel.
Copy the Link: Click the copy icon next to the generated URL to save the address to your clipboard for distribution.
Open Live View: Click the external link icon (a square with an arrow) to open the public-facing knowledge base in a new browser tab.
Navigating and Searching Content
The public view provides a clean, user-friendly interface for external visitors. Users can browse the collection of documents using the navigation list on the left side of the screen. Selecting a document title will display its full content in the main viewing area.
For efficient information retrieval, the public view includes a robust search feature:
Locate the Search docs field at the top of the page.
Enter specific keywords related to the content you are looking for.
Review the filtered results in the dropdown menu and select the relevant document to jump directly to that section.
